About the opportunity

The School of Chemical and Biomolecular Engineering at the University of Sydney is currently seeking an Administrative Coordinator to provide a broad range of administrative services and operational support to the work area.

Your key responsibilities will be to:

  • deliver daily administration activities and services, ensuring that high quality and efficient administrative support is provided in a pro-active manner to staff, students, clients and visitors
  • prepare advice, recommendations and solutions related to specific projects, policies and operational issues
  • respond to a range of enquiries via telephone, email and in person, from staff, students, visitors and the general public
  • seek out new engagement opportunities and initiatives through industry, alumni and University networks
  • provide support to the Faculty Community Outreach team for on-site high school student engagement activities, including scheduling lab activities, booking venues, liaising with key academics, and recruiting casual staff as required
  • coordinate with Sydney Future Students on Open Day, Info Day, and ad-hoc student recruitment activities throughout the year
  • liaise for the School Industry Advisory Committee, including confirmation of new board members and organising board meetings and events as required
  • coordinate diaries, meetings and events and provides conference support for the work area and as required by Head of School
  • ensure the appropriate coordination of ad-hoc school meetings including agenda and minute preparation, venue booking, catering and IT facilities.

About you

  • experience in student administration
  • excellent communication skills, with experience handling a wide range of enquiries and providing excellent customer services
  • well developed negotiation, conflict resolution, relationship building, influencing skills and strong problem-solving skills
  • numeracy skills, together with experience controlling income and expenditure for reconciliation/budget tracking and managing invoice payments and purchases
  • working knowledge of software programs such as Hyperion Reporting System, Concur, Records Management and Content Management systems desired.

Please note: Visa sponsorship is not available for this position. Australian Temporary Residents currently employed at the University of Sydney may be considered for a fixed term contract for the length of their visa, depending on the requirements of the hiring area and the reasons for the position.
