The Role

The Speech and Hearing Clinic is seeking a motivated, serviced focused and experienced people manager to provide daily management of the front desk and administrative operations of our Clinic within Macquarie University.

Reporting jointly to the Audiology and Speech Pathology Managers, as the successful candidate you will:

  • Coordinate and manage operations and administration across the full scope of clinic reception and front service desk activities and provide back up support if required
  • Provide operational, financial, purchasing, procurement and travel administrative services
  • Manage banking, invoicing/billing, receipting and Office of Hearing Services/NDIS claiming processes
  • Collaborate with Clinic Managers on operational, compliance and regulatory requirements for the clinic and operationalise policies, procedures and processes within the clinic
  • Develop, coach and manage a team of receptionists and foster a positive culture of service, support and continuous improvement

About You

You will have a strong service delivery focus and a successful track record of leading by example. As the practice manager you will possess excellent organisational and communication skills and the ability to lead a small team to deliver operational support to a busy Clinic. You will possess financial administration skills including point of sale, rebates and eftpos. You will have a sound working knowledge of the regulations around clinical practices and experience in applying administration policies and procedures to clinic operations. Your ability to effectively solve day-to-day and sensitive problems with professionalism and tact along with your ability to foster a positive work culture and to develop staff will ensure you succeed in this important role.

The Macquarie University Speech and Hearing Clinic provides best-practice clinical services in Audiology and Speech Pathology. The clinic is designed to deliver high quality integrated health services and excellence in clinical education. Clients are seen by either Audiologists or Speech Pathologists with students under supervision as part of their Master's degree programs. Housed in the state of the art Australian Hearing Hub, on Macquarie University campus, the Clinic has excellent facilities and is located alongside key partners.

The Faculty's current education suite includes courses in clinical science, physiotherapy, medicine and public health, psychology, cognitive sciences, linguistics, audiology, and speech pathology. The Faculty forms part of MQ Health, an integrated academic health sciences enterprise which incorporates Macquarie University Hospital and primary and speciality clinics. We have active research programs in neurosciences, health systems and patient safety research, cancer medicine, and clinical sciences, amongst others.

Essential Selection Criteria

  • Provide details on your application preference i.e. full-time or part-time (job share). If part-time, which days and number of hours you can work each week.
  • Degree or qualification in Business administration or a relevant qualification and/or equivalent experience including providing advice to clients and working in a busy and complex administrative environment, preferably within the health sector (and a clinical practice)
  • Demonstrated ability to take the initiative and solve day to day problems including dealing with escalated client interactions with sensitivity and tact
  • Time management and organisational skills including delivering within tight timeframes while managing the expectations of numerous stakeholders
  • Strong people management experience including the demonstrated ability to foster a strong and positive work culture, develop staff and contribute to the continuous improvement of operational systems, policies and processes
  • Experience in financial administration and working knowledge of practice management financial systems and point of sale e.g. EFTPOS, Medicare

Desired Selection Criteria

  • Management of a clinic and working knowledge of medical terminology in the context of speech pathology and audiology
